Using a filter to create a transfer cash transaction

Automatically create a transaction in your cash account when you withdraw money from your bank accounts 💵

You can create a filter to match your cash withdrawal transactions bank account, which will create an opposite transfer transaction within your cash account in PocketSmith.

Beta feature

Why use the transfer cash transaction filter?

The cash transaction filter can be used if you want to automate the creation of a transaction, which represents a transfer from another account to a cash account.

Example

When you withdraw money from an ATM, your bank uses the merchant name ATM Withdrawal for the transaction. So, you create a cash transaction filter that matches transactions with the ATM Withdrawal merchant name.

You then withdraw $50 from an ATM. When you next open PocketSmith, you will see two $50 ATM transactions: one in your bank account with an expense amount of $50 and one in your cash account with an income amount of $50.


Creating a transfer cash transaction filter

  1. Create a transaction search that matches with the cash withdrawal transactions in your bank account


    Tip

    We recommend that you select Expense for the search criteria to reduce the chance of an incorrect match

  2. Click Advanced and then click CREATE FILTER in the search bar

  3. Enter a name for the filter
  4. Select Add corresponding transfer to cash account from the drop-down and click ADD

  5. From the drop-down, select the cash account where you want to create the transfer cash transaction


    Tip

    If you don't currently have a cash account or want to create another one, just type the name for the new cash account, and then click Create account: [Account Name].

  6. Add any other filter actions that you want to perform on this transaction within your bank account


    Note

    These filter actions will not be applied to the newly created transfer transactions in your cash account.

    You will need to create a new filter for cash account transactions. This is shown below in: Applying a filter to the transfer cash transactions.

  7. (Optional) Choose Apply filter to [x] matching transactions if you want it to apply to this filter to transactions that have already been imported into PocketSmith
  8. Click SAVE
  9. You have created a transfer cash transaction filter ✨


    You can view and edit this filter at Manage > Category Rules, Saved Searches & Filters > Filters

    As with all filters, this will now be run to match against all newly imported transactions


Applying a filter to the transfer cash transactions

Cash transactions which are added as part of a filter are not matched with any other filters that also add cash transactions, to avoid a situation where cash transactions are created recursively in a loop.

To use a filter for these new cash transactions, a separate filter needs to be created, assigning different categories, labels, etc, as needed.

This filter should be added after the initial transfer cash transaction filter, which will ensure that you create the transfer cash transaction before applying edits to the matching transactions.

  1. Perform the exact search as before, but this time choose Income as the transaction type or specify your cash account in the search. This ensures that this new filter will only apply to the created cash transactions.
  2. Click Advanced and CREATE FILTER

  3. Give the filter a name and apply the actions you want to the created transfer cash transaction and choose if you want to apply the filter to existing matching transactions, then click SAVE


  4. You have created a filter for your transfer cash transactions ✨

    You can view and edit this filter at Manage > Category Rules, Saved Searches & Filters > Filters


    Note

    The ordering might be important here – as if you omit additional search conditions like expense or income, or specific accounts, then the transactions you'd intended to be matched to add a transfer cash transaction might instead be matched to the second filter added, which was intended to target only the added cash transactions.
